Privacy policy

This policy explains what happens to the information you send us through this website. It is written to be read, not to be skimmed past.

Scope

This policy covers valocarbide.com and the enquiry, quotation and newsletter forms it hosts. ValoCarbide is the controller for the personal data described here within the meaning of the General Data Protection Regulation (EU) 2016/679.

It does not cover third-party websites reached from links on this site. Those operate under their own policies.

What we collect

We only collect what an enquiry needs in order to be answered:

  • Contact details you enter: company, name, work email address, telephone number and country.
  • The content of your enquiry, including the product category selected and the description of your operation.
  • Any PDF documents you choose to attach, such as component drawings or specifications.
  • Basic delivery metadata generated by the request — the time it was received and a truncated network identifier used solely for rate limiting.

Why we process it

Enquiry and quotation data is processed to take steps at your request prior to entering into a contract, and thereafter for the performance of that contract — Article 6(1)(b) GDPR.

Rate limiting and abuse prevention are carried out on the basis of our legitimate interest in keeping the service available and free of automated misuse — Article 6(1)(f) GDPR.

Newsletter subscriptions are processed on the basis of your consent — Article 6(1)(a) GDPR — which you may withdraw at any time using the unsubscribe link in any bulletin.

Drawings and attachments

Component drawings and specifications you attach are treated as confidential technical information. They are shared only with the application engineers working on your enquiry and are not used to develop products for third parties, published, or provided to any other customer.

If you require a signed non-disclosure agreement before sending drawings, contact us and we will put one in place first.

How long we keep it

Enquiries that do not lead to a commercial relationship are deleted after twenty-four months. Enquiries that do are retained for the duration of the relationship and for the statutory retention periods that follow it.

Attachments are removed from our mail systems once the enquiry is closed, unless the resulting order requires them to be retained as part of the technical file.

Newsletter records are kept until you unsubscribe, plus a short period to evidence that consent existed.

Who else is involved

We use a small number of processors to run the website and deliver email. Each acts only on our instructions under a data processing agreement:

  • A website hosting and content delivery provider, which processes request metadata in order to serve pages.
  • An email service provider, which transmits enquiries to our sales desk and delivers the technical bulletin.

Transfers outside the EEA

Our processing is carried out within the European Economic Area wherever technically possible. Where a processor operates infrastructure outside the EEA, the transfer is covered by the European Commission's Standard Contractual Clauses together with supplementary technical measures. Details are available on request.

Cookies and measurement

This site sets no advertising or cross-site tracking cookies and runs no third-party analytics scripts. A single local preference is stored in your browser to remember your colour theme choice; it is never sent to a server and can be cleared at any time from your browser settings.

Your rights

Under the GDPR you may request access to the personal data we hold about you, its correction or erasure, restriction of processing, portability of the data you provided, and you may object to processing carried out on the basis of legitimate interest.

To exercise any of these, write to admin@valocarbide.com. We respond within one month. You also have the right to lodge a complaint with a supervisory authority in the EU member state where you live or work.

Security

The site is served exclusively over TLS. Enquiry submissions are validated and size-limited on the server, attachments are restricted to PDF and verified by file signature rather than by file extension, and submission rates are limited per network address. Access to enquiry data is restricted to the staff who need it to respond.

Changes to this policy

If this policy changes materially, the revision date at the top of the page is updated and the change is described in the technical bulletin. Previous versions are available on request.
